Getting started

What is FitLab?

FitLab is a platform for booking training sessions online. Individual trainers get their own public page with a schedule, subscription packages and online payments, while sports clubs get a separate portal with a calendar, staff and membership plans. Trainees book free slots in just a few taps.

How do I create an account as a trainee?

You register through your trainer's page — open the link or subdomain they sent you and choose "Register". You can sign up with email and password or with a Google account. New accounts need to be approved by the trainer before you can book.

How do I log in?

Trainees log in from their trainer's page or directly at fit-lab.app/my with email and password or with Google. Trainers log in at fit-lab.app/trainer, and club accounts at club.fit-lab.app/login.

I forgot my password — what do I do?

On the login screen choose "Forgot password" and enter your email. You'll receive a link to set a new password, valid for a limited time. If the email doesn't arrive within a few minutes, check your Spam folder.

How do I install FitLab as an app on my phone?

FitLab is a progressive web app (PWA) and installs straight from the browser, no app store needed. On iPhone: open the site in Safari → the Share button → "Add to Home Screen". On Android: open it in Chrome → the ⋮ menu → "Install app" or "Add to Home screen".

How many languages does FitLab support?

The interface is available in 15 languages, including Bulgarian, English, Spanish, German, French, Japanese and more. Switch the language from the globe icon in the top-right corner — your choice is remembered for future visits.

For trainees

How do I book a session?

After logging in, open "Book" — you'll see your trainer's calendar with the available slots. Pick a day and time and confirm. The booking is saved immediately and your trainer gets a notification.

How do I cancel a booking?

From "My bookings" open the booking and choose "Cancel". Please respect your trainer's cancellation policy. If someone is on the waiting list for that slot, the freed spot is offered to them automatically.

The slot I want is full. What is the waiting list?

When a slot is full you can join its waiting list. If someone cancels, the spot is automatically assigned to the first person waiting, who gets notified by email and in the app.

What subscription plans are there?

The standard packages are three: 8 workouts for 30 days, 12 workouts for 45 days, and unlimited workouts for 30 days. Each trainer sets their own prices and can add custom packages. Your active plan and remaining workouts are shown in your profile.

What happens when my subscription is about to expire?

You get an automatic reminder when you have one workout or seven days left. Expired subscriptions are deactivated automatically. You can buy your next plan in advance — it activates right after the current one ends.

Can I pay for a single visit without a subscription?

Yes. If you have no active plan, your next booking shows a "Pay single visit" button that takes you to a secure payment page. Your trainer can also send you a payment link.

What are family/corporate groups?

One payer can share their subscription plan with group members — family or colleagues. If the payer has no active plan, the members' completed visits are recorded and billed once a week with an email and a payment link sent to the payer.

Can I gift workouts with a voucher?

Yes, if your trainer has enabled gift vouchers. You pick a package, pay online and receive a beautiful voucher with a code to give away. The recipient registers with the code and the workouts are loaded into their account.

How do I track my progress?

Your profile has a progress section — record measurements, weight and goals and watch them change over time. You decide whether to share the data with your trainer; without explicit sharing they cannot see it.

For trainers

How do I register as a trainer?

Open fit-lab.app/trainer/register and fill in your details. After registration your account goes through a short approval, and an onboarding wizard helps you set up your schedule, prices and public profile step by step.

How do I set up my working schedule?

In Settings you define working days and hours for each day of the week, a lunch break, slot duration and the maximum number of trainees per slot. If you also work in sports clubs, you can keep a separate schedule for each club.

How do I approve new clients?

Newly registered trainees appear on your dashboard as pending approval. One tap approves or rejects them. An approved client can book sessions with you right away.

How do I set my package prices?

In Settings → "Packages & prices" you set prices for the three standard packages and for a single visit, and can optionally create your own custom packages with a chosen number of workouts and validity.

Can I add a substitute trainer?

Yes. A substitute gets read-only access to your dashboard and sees the bookings for the days they cover for you. They cannot change settings or manage clients.

How do I mark vacation or days off?

In Settings you set an absence period — clients can't book on those days. If you have a substitute, you can mark that they cover the period and your clients keep training.

What notifications do I receive?

Push notifications and emails for new bookings, cancellations and new clients pending approval. Enable push from your dashboard — it works on phone and desktop, as long as the app is installed or your browser supports it.

What does my public profile include?

Every trainer has a public page at fit-lab.app/your-name with a bio, photo, packages and a booking button. Optionally you can get your own subdomain (your-name.fit-lab.app) and enable a paid page design with professional ready-made templates.

Can I keep notes and tasks for my clients?

Yes — each client has shared notes and tasks that update in real time on both sides. Tasks can be marked as done, and you get notified about changes.

For sports clubs

What is the FitLab club portal?

Sports clubs have their own world at club.fit-lab.app — a public club page, a calendar of group and personal sessions, member management, a staff team with roles, membership plans and online payments. The club portal is independent from individual trainer profiles.

How do I register my club?

Open club.fit-lab.app/register and create the club account. It is active immediately, and an onboarding wizard walks you through the setup — club details, opening hours, rooms, activities and staff.

What roles exist in the club team?

The owner and managers have full rights. Reception handles day-to-day operations — bookings, attendance, sales — but has no access to settings. The accountant has read-only access with report exports. Trainers see and run their own sessions.

How do members join the club?

In three ways: on their own via the club's public page, by email invitation (single or bulk via a CSV file), or on the spot — reception/a manager adds them manually. The member receives an email to set their initial password.

How do membership plans work?

The club creates its own plans — a number of visits or unlimited access, a validity period and optionally a restriction to specific activities. Plans are paid on site or online. When booking, the system automatically consumes a covering subscription.

What does the club calendar offer?

Weekly and daily views with group sessions and personal training, per-session capacity, a waiting list and attendance marking. Opening hours, capacity and double bookings are validated. Members see the timetable and book online.

What is the "Sales & articles" (POS) module?

A paid add-on for selling at the bar or reception — drinks, food, accessories. It includes articles with categories and variants, per-location stock, a fast cash/card sale screen and daily reports. The owner activates it directly from the club settings.

Payments & subscriptions

What payment methods does FitLab support?

Individual trainers accept online payments via myPOS. Clubs can choose between Stripe, myPOS and Borica for online payments, and can also record on-site payments — cash or card. Which method is available depends on the specific trainer's or club's setup.

Are online payments secure?

Yes. All card payments are processed by licensed payment providers (myPOS, Stripe, Borica) on their secure pages. FitLab never sees or stores your card number.

My payment failed. What should I do?

Use the "Try again" button — it creates a fresh payment request. If the amount was charged but your subscription hasn't activated within a few minutes, contact your trainer/club or write to us via the contact form — we can trace every payment by its order number.

My subscription didn't appear after paying?

Subscriptions activate automatically as soon as the payment provider confirms the payment — usually within a minute. If the plan still isn't visible after a few minutes, refresh the page; if the problem persists, write to us with the date and approximate time of the payment.

How do I get a document for my payment?

Sales documents are issued by your trainer or club — they are the merchant of record. If you need an invoice, contact them directly; their contact details are on their public page.

What is the refund policy?

Cancellation and refund terms are set by the respective trainer or club. You'll find them on the "Refund policy" page linked at the bottom of their public profile. You can also contact us for assistance.

What is a "group debt"?

In family/corporate groups where the payer has no active plan, the members' completed visits accumulate as a debt. Once a week the payer receives an email with a summary and a payment link. After that email, new bookings for the group are blocked until the debt is settled.

Do unused workouts carry over to the next period?

No, unused workouts do not carry over automatically when a plan expires. Exceptions are possible only at the discretion of your trainer or club — please contact them directly.

Technical help

I'm not receiving push notifications. How do I fix it?

Check that notifications are enabled in your account settings and that your browser has permission to show notifications for the site. On iPhone, push works only when the app is installed on the home screen (iOS 16.4+). After switching phones or browsers, enable notifications again from the app.

I'm not receiving emails from FitLab.

First check your Spam and Promotions folders. Add the sender team@fit-lab.app to your contacts so messages land in your main inbox. If you still receive nothing, verify that the email in your profile is spelled correctly.

The app shows an old version / won't update.

Fully close the installed app and open it again — the new version loads automatically. In a browser, refresh the page. If the problem persists, remove the app from your home screen and install it again — your data lives on the server and nothing is lost.

Which browsers are supported?

All modern browsers — Chrome, Safari, Firefox, Edge — on phone and desktop. Push notifications on iPhone require Safari on iOS 16.4 or newer and the app installed on the home screen.

How do I change the interface language?

Tap the globe icon at the top of the screen and pick one of the 15 languages. The choice is remembered on your device and also applies to the emails you receive.

Is there a dark theme?

Yes — toggle it with the sun/moon icon at the top. The logo and colors adapt automatically to the selected theme.

How is my personal data protected?

The connection to the site is always encrypted (HTTPS), access is protected with sessions and roles, and everyone sees only the data they are entitled to. Card details are never stored with us. See the platform Terms for details.
